Cancellation & Refund Policy

Our cancellation and refund policy outlines the terms for modifying, postponing or cancelling your booking with Navigate Destinations.

Please review these conditions carefully before making your booking. For specific questions, please contact our team.

Last Updated: Navigate Destinations Limited | These cancellation and refund terms apply to all bookings made with Navigate Destinations.

1. Client Cancellation

Unless otherwise stated in the quotation or booking confirmation, the following cancellation schedule applies to the total booking value:

Cancellation ReceivedCancellation Charge
31 days or more before travel20%
15–30 days before travel40%
8–14 days before travel60%
4–7 days before travel80%
0–3 days before travel / no-show100%

The refundable amount, where applicable, will be calculated after deducting non-refundable supplier charges, ticketing fees, administrative charges and other costs already incurred on behalf of the client.

2. Non-Refundable Services

The following may be non-refundable once confirmed or issued:

  • Airline tickets and applicable airline charges
  • SGR/railway tickets
  • Visa and immigration fees
  • Travel insurance premiums
  • Park, conservation and government fees where non-refundable
  • Special-event tickets
  • Certain accommodation bookings
  • Special permits and private charters
  • Prepaid activities
  • Supplier-specific non-refundable rates
  • Other services expressly identified as non-refundable in the quotation

Where a supplier offers a refund, Navigate Destinations will pass the applicable refundable amount to the client after deducting any permitted administrative or processing charges.

3. Deposits

Unless otherwise specified, deposits are treated as non-refundable once committed to suppliers, particularly where accommodation, transport, permits, tickets or other services have already been secured.

Where a supplier allows a refund or credit, Navigate Destinations will communicate the applicable options to the client.

4. Cancellation by Navigate Destinations

If Navigate Destinations cancels a confirmed booking for reasons within its reasonable control, the client will be informed and, where applicable, offered:

  • An alternative arrangement
  • A rescheduled travel date
  • A refund of eligible amounts paid, subject to non-refundable third-party costs

Where cancellation results from circumstances beyond Navigate Destinations' reasonable control, including force majeure events, the company will make reasonable efforts to provide alternative arrangements or obtain credits/refunds from suppliers.

5. Changes to a Booking

Requests to change travel dates, accommodation, passenger numbers, activities or other booking components may be treated as a cancellation and rebooking depending on the supplier's terms.

  • Any additional costs arising from a requested change shall be payable by the client
  • Where a change results in a lower booking value, any refund will be subject to the applicable supplier cancellation conditions

6. No-Shows & Late Arrivals

Failure to arrive for a booked service without prior notice will generally be treated as a no-show and may result in 100% cancellation charges.

Late arrival resulting in missed flights, trains, transfers, activities, game drives, meals or accommodation services does not automatically qualify for a refund.

7. Early Departure

No refund will normally be provided for unused accommodation, transport, activities, meals or other services where a client voluntarily shortens their trip after commencement.

Where a supplier agrees to a refund, Navigate Destinations will facilitate the applicable refund subject to the supplier's terms.

8. Refunds

Approved refunds will be processed after Navigate Destinations has received the applicable refund from the relevant supplier, where necessary.

  • Refund processing times may vary depending on the supplier, bank or payment provider
  • Bank charges, transaction fees, currency conversion losses and other non-refundable payment-processing costs may be deducted where applicable
  • Refunds will normally be made using the original payment method unless otherwise agreed

9. Postponement

Where possible, clients may request to postpone their trip instead of cancelling. Postponement is subject to:

  • Availability
  • Supplier approval
  • Applicable rate differences
  • Rebooking charges
  • Changes in park or conservation fees
  • Changes in accommodation rates
  • Other applicable supplier conditions

A postponement is not automatically guaranteed and may be treated as a cancellation and new booking.

10. Travel Insurance

Clients are strongly encouraged to obtain travel insurance that includes cancellation and interruption cover.

Where a client is unable to travel due to an insured event, they should contact their insurer promptly and provide the necessary supporting documentation.

Navigate Destinations will reasonably assist with supplier documentation where required.

Important: We strongly recommend comprehensive travel insurance that covers trip cancellation, medical emergencies, evacuation, and other unforeseen circumstances.

11. Supplier-Specific Cancellation Terms

Where a quotation or booking confirmation contains cancellation conditions specific to a hotel, lodge, camp, airline, railway operator, park, activity provider or other supplier, those conditions will take precedence over the general cancellation schedule for that particular service.

Clients are encouraged to review the cancellation conditions provided with their quotation before making payment.

12. Cancellation Requests

All cancellation requests must be submitted in writing through the official Navigate Destinations communication channels.

The effective cancellation date will be the date on which the written cancellation request is received and acknowledged.
